Log College Chiller Update
An update on the Log College chiller confirmed that the failure was due to corrosion in the internal tubing. The district is waiting on repair cost estimates from the manufacturer to decide between a repair or a full replacement, with insurance coverage mitigating significant district expense beyond a deductible. There is concern about the longevity of a repair given the corrosion issue and the chiller being past its warranty.
Recommendation for Engineer of Record
The committee confirmed the intent to recommend Gilmore and Associates as the Engineer of Record. A robust discussion ensued regarding the policy on when to go out for additional bids (RFP) for projects even with an appointed Engineer of Record, with some members advocating for a clear monetary threshold (e.g., $50,000) for scrutiny. It was clarified that the Engineer of Record's primary role is to design project specifications and manage the RFP process for construction work, not to perform the construction itself, and that state law already mandates RFPs for projects exceeding approximately $28,000.
Server Replacement (AD Server)
The IT department proposed replacing an 8-year-old server critical for building control. The initial cost presented was net of buyback funds, but the committee requested the full gross cost (approx. $17,000) and a breakdown of one-time purchase price versus four-year ongoing maintenance costs. This new reporting standard is to ensure transparency and accurate forecasting for the board.
Notable Quotes (9)
So once we have that we'll give it to the insurance company so they have a total cost and then they're going to say yeah, go ahead with it cuz the price is good if or if the price is too high they're going to could just replace the whole chiller.
It ended up being a failure in one of the some of the tubing internal and it was a corrosion problem because of the type of metal or the the thin metal in those tubes.
I remember Gilmore and Associates being at the kind of at top of that list and we're okay with moving that forward.
I think it makes sense for us and it's a good idea for a certain level whether it's 50,000, whatever it is. I mean they should get some leeway being the engineer of record, but I'm hopeful that there's you know, we can come up with some cap.
What Gilmore did last year was give us a quote of 86 83,000 dollars to manage to to develop the RFP, do the engineer drawings, do all the specs for it and send it out for RFP to have companies come back and bid on it.
This is our RFP project process to determine our engineer. Then our engineer designs a project and then sends it out for RFP for us to make sure we get the best price obviously for the project.
The price of the server is actually 17 and some change.
We want to just understand what that number is, right? So, we want the gross number We want the cost not net of anything else that's going on, right?
This This server we do need because it actually controls this building and some other buildings.
