[2:18] good evening and welcome to a series of trainings that we're offering for [2:23] our families on supporting our parents with the 2020 2021 [2:30] school year and specifically hybrid and distance learning tonight we're going to talk about the [2:36] technology needed to help with hybrid and distance learning we're going to do [2:42] this um for a particular audience our somali families [2:48] before i get underway i just want to remind you that we are accepting questions [2:53] and on the screen you should see the short url where you can submit questions if you need to [3:04] i'd like to uh enter i'll introduce myself [3:14] my name is steve buettner and i'm the director of media and technology and with me tonight is sean [3:20] i'm sean beverson i'm the elementary digital learning specialist for dyna public schools [3:26] mike and i'm michael walker i'm secondary digital learning specialist [3:33] and with us tonight is abdi gadir ibrahim [3:38] yes ibrahim uh somali cultural liaison for the district [3:44] great what we hope to accomplish tonight is some background on our digital [3:50] learning in edina public schools the technology tools that you and your child will use [3:56] for hybrid and distance learning communications methods and [4:03] what to expect in instruction in a schedule for your secondary and elementary uh children and how to get support [4:11] i'll pause here to see if we [5:08] technology [5:22] so the most important tool that we'll be using and your children is the edina apps [5:28] portal that is the central hub for all instructional tools it's used by [5:35] our staff to log in our students to log in and our parents have a username and [5:41] password as well this portal can be accessed from a browser [5:47] and a smartphone so it is responsive and so many uh families and parents prefer to access [5:53] the portal via their cell phone or their smartphone and for parents their username is their [5:59] last name period first name let me show you how to log in to the [6:07] portal so again the portal can be accessed from [6:13] our front uh dynaschools.org website or by going directly to portal.dynaschools [6:21] you enter your username and password and login here you'll find the various [6:28] apps that you will use and to help support your child in learning [6:33] schoology which will talk about infinite campus which is the historical record [6:38] for your children this is where you see schedules pay for food [6:43] access the transcripts update contact information [6:49] status is a place where you'll see if there's any technical issues going on in the district learner's edge is the historical record [6:57] for your children and faq [7:03] uh my info update and [7:10] instructional dashboard which i'll talk more about in a moment in the right [7:16] you can always reset your password or set a recovery email this will be [7:22] important to do so that you're able to reset if you forget your password [7:28] if you enter a recovery email you'll be able to have the system send you an email with a [7:34] link to reset your password [7:48] your students will see different applications on their portal and so it's important to know that when [7:54] you log on you log on as your parent and your student will log on with a different username and a password [8:00] and they have that username and a password if they forgot their username and a password they could always talk to [8:06] their media or later on in the presentation you can send a support ticket [8:12] to assist with that [8:17] the key to tools that your children and you will use are the learning management system which [8:24] is see saw k through second grade and then schoology grades [8:29] three through twelve and then for collaboration and communication google meets and google [8:40] what is a learning management system or an lms a learning management system is our [8:46] virtual classroom so this is a window into your child's classroom where you can see information like [8:53] assignments what's coming up what is due see what the current grade is [8:59] for students 6 through 12 be able to email the teacher or get the teacher's [9:06] email address and be able to follow along to some degree what's [9:11] happening in the classroom both seesaw and schoology can be accessed via [9:16] a web browser or an app that you can put on your telephone and it is [9:24] an important tool that you want to use to help your child successful in hybrid or eva [9:31] learning and make sure you sign up for announcements and we'll show you that in a moment [9:40] google meet is the video conferencing software that the district uses [9:45] again google meet works with any computer and has an android and an ios app so that [9:52] your your child can put that on their chromebook or on their ipad [9:57] or you can put it on a family commute computer if you have one you can join a google meet either via a [10:04] computer by connect excuse me by clicking on a link or by accessing [10:12] the conference via a telephone number this is very useful for families that [10:18] may not have a computer at home you can dial the number and you can be brought into a google [10:24] meet to talk to a teacher or to be able to join a meeting your [10:29] child will want to make sure your child is pro practicing proper computer video conferencing etiquette [10:34] which will be when they join that they mute their audio and determine whether or not video [10:40] should be shared there's a great instructions on this slide deck and we will be providing the [10:46] slide deck to you later on this evening or early tomorrow [10:51] an important reminder is to make sure that when your child is accessing a google meet they're [10:56] logging on with their dyna apps username and password so that they're able to join the app [11:03] google meets meetings because if you are not using your edina apps username and [11:09] password then sometimes it can be a challenge to join a google meet [11:18] communications and expectations mike do you want to talk about the [11:24] secondary ones you're muted sorry [11:32] thanks um so for secondary students the students in the first half of the [11:38] alphabet will be attending school on mondays and tuesdays during the week face-to-face [11:46] on wednesdays there will be and the students who are at the back end of the alphabet [11:52] will attend be doing at home learning as well as the students who are also [11:57] in the edina virtual academy they will be at home on mondays and tuesdays [12:03] on wednesdays everyone will be doing at home independent learning for students and [12:09] activities will be posted in schoology for them to do those on wednesday on thursday and [12:16] friday the b group the second half of the alphabet will attend class face-to-face on [12:23] thursday and friday and the a group the group from a through k [12:28] will be at home doing independent learning along with the eva students [12:40] steve go ahead some expectations for our secondary [12:46] learners that when they attend in person they should wear a mask from the time they get out of the car to [12:53] throughout the day they should follow social distancing guidelines they will have a lanyard with an id that [13:01] they will carry with them at all times you should attend every class period [13:07] and keep their device charged in case they need it students will have the opportunity to [13:12] have lunch when they attend in person for at home whether they're hybrid [13:18] learning or eva students should review their schedule in schoology so they should log in early and check to [13:24] see what they have to do upcoming in schoology for the day they'll [13:30] teachers will publish an outline of the week as well and then they'll follow those lessons [13:36] and complete them sometimes they may attend a google meet activity live [13:41] to get some instruction or to interact with peers and then also do independent learning uh [13:48] teachers will also have office hours where students can drop in to get extra help [13:54] and they'll at the high school level students should complete an attendance-based assignment for each [14:00] class in order to be talented present when they're not in school if they're in person [14:08] they do not have that attendance-based assignment necessarily and at our middle schools the students [14:15] are utilizing a different method of attendance where they either like a [14:20] post by their advisory teacher or have their attendance taken during a google meet in advisory [14:38] for the daily schedule they're slightly different in each building here you can see the south view [14:44] schedule where they start with an advisory at 9 20 then they have flex time where they [14:50] can interact do things either face to face or virtually and then they have their block schedules [14:57] for the day and you can see depending on the grade level when those times are and when the lunch might be [15:05] for the next if you click again steve just click valley view has a slightly different [15:10] schedule pretty much the same again students at home [15:16] should be checking g to work on assignments or to join live sessions and then clicking one more [15:22] time on the slide steve will give us the high school schedule [15:30] for the day so they begin their day at 8 [15:38] 30. in schoology when secondary students log in to a schoology class they're going to [15:45] see a daily uh weekly overview at the top it may be a grid it may be a video that the teacher has [15:52] made to show what's going to be happening for the day they'll see some announcements and an [15:58] overview of things happening they will also on the right hand side see upcoming [16:04] activities assignments an overview for what they're supposed to do in that class on the given day [16:15] and click and then in the class they may have [16:23] links to a google meet or they may be in a folder completing activities [16:28] for that day for example again at the high school they may have an aba [16:34] or an attendance-based assignment on that particular day [16:41] go ahead [16:49] sean [16:58] i was muted uh and then also for our elementary schedules they follow a very similar [17:05] breakdown using the alphabet to determine who is in which cohort so cohort a and [17:11] cohort b should match the secondary model during the monday tuesday or [17:17] thursday friday in-person learning sessions there will be a variety of classroom sessions that [17:23] are available for students in addition to some at-home learning links [17:28] wednesday much like the secondary is reserved for independent work and time for our [17:34] teachers to collaborate and work together in responding to the needs of the students during the other days of the [17:40] week so at home or what a schedule might look [17:48] like for hybrid learning during this fall is in [17:54] person class they're going to have a morning meeting literacy and math workshops and then they will [18:00] also have access to lunch and recess they will have time with their specialists [18:05] during their in person time but then also at the at home daily schedule they will have [18:11] opportunities for cohort collaboration will join their in-class classmates [18:17] occasionally for different instructional times and different community times teachers will communicate using seesaw [18:24] or schoology and we'll talk more about seesaw in just a little bit and then they will also have independent [18:30] practice around the literacy workshop and math workshop as well as access to their specialists in an asynchronous way [18:38] during that wednesday time [18:49] so here is a sample schedule of what it might look like at the elementary level what you note here is that the day is [18:55] broken down into different chunks and that during this day there are times [19:01] in which live instruction will be available to at-home students and that they connect with [19:06] their classmates that are in the classroom you can see different times set aside [19:12] for math reading and much like you would experience in in-person setting one of our normal [19:20] settings that we would anticipate in the fall our teachers are planning for providing that time [19:26] for students as well we really have three learning modes that we consider for [19:32] hybrid the in-person sessions which will be available at various times to families [19:40] from home independent sessions in which both classroom students and at-home [19:45] students will work independently and then small group sessions so even those students will be [19:51] at home or in class there will be opportunities to work in small group as well [20:03] so a little bit about seesaw let's i'm going to pause quick [20:08] is there any um did you want to say anything or do we want us to keep going [20:17] you're muted gets us all yes [20:24] okay so we will uh continue at the end i will um give somebody and [20:31] then we next steps hopefully thank you very much i just wanted to make sure [20:41] sean you're muted for our kindergarten through second grade students we use [20:48] seesaw as our learning management platform and this is the digital classroom [20:53] where students will encounter different activities and communication from the families [20:58] seesaw can be a little bit confusing because there's actually two different ways to access the app i'm [21:05] going to explain a little bit about the differences and how you can get connected to the app [21:10] the class app is for the student learning and is connected between the student and [21:16] the teacher we have provided home learning codes which is a qr code to sign in to the class app for [21:24] your student these are available at the sites and have likely been sent home by now [21:29] in a printout that also has the login information for the portal [21:34] when you scan the qr code in the class app that will create the home learning link [21:40] between your classroom teacher and your student this link creates a private connection [21:46] between the teacher and the student so the student's work is not exposed [21:52] to the other students in the class without some intentionality by the teacher so if the teacher wants to show some [21:58] exemplary work they may make that available to other students but by default it is a closed connection between the [22:05] teacher and the student in addition to that the teachers will use seesaw to communicate directly to [22:12] families and in order to access that information families will download the [22:19] family app in onto their device now the district will provide ipads for [22:26] students in k through second grade kindergarten through second grade and those ipads come pre-installed with [22:34] the class app and other apps that the student may need during their time at home you are not [22:41] able to download additional apps into onto the ipad and so the family app [22:47] is meant to be downloaded on your own personal device and that can be an ios device or apple phone or android [22:55] device the family app can also be accessed through the web and the the sign in information for the [23:02] family app will come from your homeroom teacher to [23:07] email [23:13] so what does seesaw look like well this is what seesaw looks like from a student view [23:19] so you can see on the left hand side are the activities that the student has yet [23:24] to attempt and so they simply click the green add a response button and follow the [23:32] directions provided by the teacher and they can respond to the activity right in seesaw [23:38] on the right hand side you'll see the the activities tab is highlighted with the [23:44] number six next to it that then that shows that there are six activities [23:50] waiting to be completed from the student uh from the teacher for the student as [23:55] those activities are completed that number will go down you can see also [24:00] that seesaw has broken this out into three categories the to-do category in progress and done [24:07] students are able to start an activity and save their progress in a draft [24:13] and then before they actually hit submit and then when they hit submit it'll be available under the done [24:19] section of schoology you'll also notice that on the right hand side there is the inbox tab that is how [24:27] parent excuse me teachers can communicate directly with students about how things are going in [24:33] class or ways to connect that inbox is also available in the family app but as a connection [24:40] between the teacher and the family members not necessarily the student some messages may go to both the student [24:47] and the family and some messages will go directly simply to the family [24:53] and so this is a little bit about what a student will see in seesaw as they get going around the [24:59] activities [25:05] and then when they click that add a response button this is the workspace that the students have [25:12] access to and i've highlighted a few few key features in this workspace [25:17] one is the instructions are always available and so the instructions from the teacher [25:22] are at the top which they can click and review and many of those instructions will actually have a [25:28] recording and a video recording to help explain what is expected [25:33] on the left hand side are the variety of creation tools for the students and what you'll note there is there's a [25:39] little icon that is a microphone and an icon that is a camera and that is so [25:44] students can leave audio and video messages for their teachers when they're still [25:51] learning how to type and write and then down below uh there's the the um creative tools the pencil and [25:59] marker and the kids know how to use those and that's how they can write responses and then also you can see right on this [26:06] page is a video that's included for the students to watch to get even [26:12] more information from their teacher [26:22] students starting in third grade through 12th grade but third through fifth at the elementary level [26:28] will be in schoology and so what does it look like for an elementary student in schoology [26:35] when they log into schoology through the portal and click the schoology app they'll be taken to [26:40] their courses page and once they get to their course they'll see a page that looks very similar to this [26:46] this is mr mccarthy's fifth grade page and it's laid out so you can see his homeroom folder and [26:53] then below that a folder for the specialists art music and phi ed within that homeroom folder mr [27:00] mccarthy has laid out the different content areas so math language arts science and social [27:06] studies and in those folders will be the various activities for the students [27:12] on the right hand side just as mike had pointed out for the secondary there is a running calendar of upcoming [27:18] events and so you can see in this case mr mccarthy is using that to highlight some birthdays coming up in the month of [27:25] september and as assignments are added and due dates are added to those assignments they will also [27:31] show up in the upcoming side one question we've had is how will we keep track of content and knowing whether or not [27:38] things are submitted if something is not submitted and it goes beyond the due date that [27:44] will be that will show up in the upcoming panel on the right hand side with a [27:49] late or missing notification [27:55] and then just one layer closer we will see this is an example of what an assignment [28:01] might actually look like in schoology so you'll note that the folder has [28:06] instructions included about what the student is supposed to complete in order to [28:12] be done with this particular assignment and then below that set of instructions there are links [28:18] for resources to help the students understand what they're working on [28:23] there's a video resource included in this particular assignment and then below that there is [28:30] a quick assessment which is a quiz and those quizzes often are set up to do auto grading so that the students get [28:37] immediate feedback about how they're doing with their practice on a content or topic and then what i really like is [28:44] below that there's a discussion forum and in that discussion forum is where students can post questions for [28:50] each other and they can actually respond to those questions as well as a parent you will see much of this [28:57] same content when you log into schoology and mr walker will cover that in a little bit [29:02] but you will not be able to see particular items like the discussion going on because the [29:08] connection from the parent to the classroom is filtered so that you see your [29:13] students responses but not the overall class information [29:29] so what does instruction look like to help our families and our parents [29:34] with that we have constructed a dashboard with information that is critical for [29:40] this year to support our parents in our community again that can be accessed [29:46] from the uh portal page [29:53] from the portal we've put a link for the instructional dashboard when you click on that it brings you [30:00] right to that page the information starts off with academics [30:07] and then other information is available our learning models hybrid versus eva [30:14] how we're ensuring that our staff and student are safe through our practices around cleaning [30:22] around safe distancing and other covet related practices how we monitor for covid and [30:29] how we screen for kovid transportation nutrition services [30:34] technology mental health for our staff our students and our families and other [30:40] activities and athletics that are available and general questions if we were to [30:46] click on a link it would bring us to specific information about those grade levels in the [30:53] academics an important piece to point out is we're asking all families [30:58] to do the covid self screening protocol every day to ensure that they [31:05] are not bringing covid into the schools there's a middle school in a middle [31:12] school even eva and hybrid the schedule for this week september 8th and through the 11th and [31:19] then following that september 14th through the 18th or our regular school sessions [31:25] sean and mike both talked about those schedules already [31:32] we uh parents to go to that website and familiarize yourself with that [31:38] information it is translated into spanish and [31:43] somali important thing to do is also to sign up for notifications [31:51] mike can you talk a little bit about that as i bring it up yes so as a parent you can receive [31:58] email notifications from schoology on different things course updates or [32:05] information that gets sent out to you so in this case the parent is minnie [32:11] mouse and when minnie clicks on the arrow next to their name you can go down and [32:16] select settings so you would make sure that your name is showing at the top of the screen [32:23] and then click the arrow settings and then go to notifications when you go to notifications you can [32:30] turn on and off email that would let you know that a course update has been sent or [32:38] information has happened and if you scroll to the bottom steve you can also if the school posts [32:45] something for the school you can do that information and that's on the bottom of [32:50] the notifications there you can also if you wanted to add your [32:57] cell phone number and turn on and off notifications for that as well [33:02] on the right hand side if you select one of your students [33:10] and any one of your students this will work and then click again on the arrow and go to settings under notifications [33:19] there you will see that you have the ability to get a digest [33:25] that shows what your child has been doing for the entire week in schoology and it would give this for [33:32] all of your students so you don't have to do it for each one you do it once and will get [33:37] this email digest you can choose to do it by day or by week [33:43] and it will give you information on assignments it will show you for secondary school it will [33:49] show you grades and information you can set it up to maybe be five o'clock on a friday and [33:57] get that information so you can decide whether kids have uh opportunities to do things over the [34:03] weekend you can also set it up so if an assignment is missing that that will alert you if the [34:11] assignment hasn't been turned in and then you would save your changes and then you would start receiving [34:17] those updates to your email [34:33] we want to make sure as parents that you are supported with your children's technology to that [34:40] end we are providing both telephone and help desk ticket support [34:45] for our staff our students and our parents to access the telephone support our [34:52] telephone number is 952-848-48 [34:58] excuse me 952-848-4900 and our email address is support edina [35:05] schools dot org our hours of support are 7 am until 5 pm [35:11] monday through friday if your child having a problem with their technology [35:16] it's not working it's not turning on they can also ask for support for that as well if [35:23] they're a hybrid or if they're coming to school two days a week they can always bring their device into [35:29] the media center for assistance if the device needs to be repaired [35:34] we will take that device in and provide your child with a loaner device in place of the device if [35:42] there are an eva student or doing distance learning they can also request for our loaner [35:48] device by sending an email to support editing schools dot org [35:53] either way we want to make sure we help out your child with technology in some situations we may find that [36:01] damage to the device was caused because of negligence in those situations there might be a fee [36:06] of 30 assessed for the repair [36:15] at this time we'll see if there's any questions that have been submitted [36:21] mike is there any questions [36:35] steve it doesn't look like we've had any new questions submitted and so i [36:41] think we've covered most of the topics that have been asked previously um so i [36:48] i think we're set on the questions for this particular session maybe we'll extend the the offer to abdi [36:55] gadir is there any questions that you um you're that you might [37:01] uh think we should be answering [37:09] okay i just want to uh summarize uh quickly uh for the families who may be viewing [37:16] home or some other places and so then also maybe next steps just in [37:24] case we don't you know some families don't in this year of 2020 2021 covid [39:05] it's important that we all understand the technology that's being used and we can
