Election of Planning Commission Chairperson, Vice-Chairperson and Secretary

Pending Election

The Planning Commission is required by its bylaws to hold an annual organizational meeting in February to elect a Chairperson, Vice-Chairperson, and Secretary from its membership. Any member may nominate another or themselves, requiring a motion, second, and majority vote. Commissioner Holmvig-Johnson is the current Chair, the Vice Chair role is vacant, and Commissioner Taraldsen is the current Secretary. Officers take office immediately upon election and serve until successors are elected.

The Planning Commission discusses and agrees upon members to serve as liaisons to various other city and community boards. These liaisons are responsible for attending meetings of their assigned bodies and reporting updates back to the Planning Commission to keep them informed of ongoing work and decisions across the City. Current liaisons were noted, with the HRA liaison position being vacant.

Review and amend the Planning Commission bylaws

The Planning Commission conducts an annual review of its bylaws as required. Staff proposed an amendment to Part 1, Section 7, to change the meeting format, specifically moving the 'Open Forum' to occur after the 'Approval of Agenda and Minutes.' This adjustment aims to create consistency with the City Council's agenda order. Amendments require a 2/3 majority vote of the Commission members (5 Commissioners).

The Commission traditionally reschedules meetings that coincide with City observed holidays or other scheduling conflicts. Staff recommended rescheduling the May 25th (Memorial Day) meeting to Wednesday, May 27th, and the December 28th meeting to Monday, December 14th, to account for end-of-year travel arrangements and chamber availability. Deciding dates early allows for proper reservations and planning for Commissioners and applicants.
